Privacy notice: ICSC 2027 registration

This notice is also in Chinese, translated from this English text. If the two differ, the English applies.

Who we are

The church in London (registered as The Church of the Londoners, charity number 1093426) runs this registration and is responsible for your details.

What we collect and why

For each person: their name as in their passport, gender, age, programme and, for a child, whether they need a bed or a bus seat. Flights and airport pickup, on the form or later. For the family: one email address, one mobile number, your church locality and where you will stay.

We use these details to register you with the conference in Taiwan, arrange your stay and travel, receive your donation and email you. We do this because you asked us to register you (the law calls this our legitimate interests). We keep payment records because charity law requires it. Notes for hosts (for example diet, health, the languages you speak or who you would like to stay with), the gospel friend tick and the visa tick are optional.

For each person, the passport expiry date, so we can remind you to renew in time. It stays in the UK and is not sent to Taiwan.

Who receives your details

  • A few UK volunteers who run the registration.
  • The conference organisers: Living Stream Ministry and the church in Taipei. They share your details with their serving teams for hospitality, transport and blending trips, and with the halls and saints who host you. Their privacy policy is at icsc2027.org/en/privacy. When Taiwan sends us your hosts’ contact details, such as a mobile number or LINE ID, we pass them only to your family.
  • Our service companies: Vercel (website), Neon (database, in London), Google (email), our bank, and Stripe for card payments. Card payments are handled by Stripe, so your card details go to Stripe and not to us.
  • To help saints travel together, the registration form shows the flights others have booked: the flight number, date and airport, and how many people are on each. It never shows names.

Sending details outside the UK

The conference is in Taiwan, so we must send your details there. Living Stream Ministry is in the USA, and the organisers’ providers may be elsewhere. Our service companies may also handle data in the USA, under contracts that protect it.

The UK has not confirmed that Taiwan protects personal data to the UK standard, so your UK rights may be harder to use there. We send your details only with your clear consent, and only what the conference needs.

Health and other sensitive details

Your registration can show your faith, which the law treats as sensitive. We share it only with the conference and your hosts, with your consent.

Notes for hosts can include health details, such as diet or mobility. We send them to Taiwan and your hosts only so that they can care for you. Please write only what your hosts need to know.

The gospel friend and visa ticks stay in the UK. If someone needs an invitation letter, we will check with you before we send anything for it.

Details about other people

One person can register a whole family. A church contact can also register a saint who has no email or finds the website hard to use, if the saint agrees.

The person who registers gives an email address that they read. Emails about the registration, from us or from Taiwan, go to that address.

If you register others, please show them this notice or explain it, make sure that they agree, and pass on what we send. For a child, you must be their parent or guardian, or have a parent’s permission.

If someone else registered you, your details came from them. If they did not ask you first, please tell us.

How long we keep it

  • Notes for hosts, gospel friend ticks and visa ticks: deleted by 31 March 2027.
  • All other registration details and emails: deleted by 30 April 2027.
  • Payment records: kept for six years after the end of the church’s financial year, as charity law requires.

The organisers in Taiwan keep an archive until the next such conference has been prepared. You can ask them (register@icsc2027.org) or us to delete your details there.

Your rights

You can ask for a copy of your details, and ask us to correct them, delete them or limit their use.

You can also object to how we use your details.

You can withdraw your consent at any time. Without it, we cannot send your details to Taiwan, so you could not attend.

We reply within one month. If you are unhappy, please tell us. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint or 0303 123 1113.

Contact

For privacy questions and requests, email data@churchinlondon.org.uk, or write to us at Bower House, Orange Tree Hill, Romford, RM4 1PB. For questions about your registration, email csc@churchinlondon.org.uk.

Testimonies

If you share a testimony on this site, we keep what you send: your testimony, the name you want shown, and your name and email address. We rely on your consent, given with the tick on the form.

The UK conference team reads it. We use your email address only to talk to you about your testimony. We publish a testimony only after the team approves it, with the name you chose. If we change more than small corrections, we check with you first.

We store it in the same database as registrations, hosted in London. To have your testimony removed, or to ask about your details, email data@churchinlondon.org.uk. We delete testimonies we do not publish, and your name and email address, by 30 April 2027.
